Launching a new association brand at a trade show is one of those projects that is both exciting and a little nerve-racking.

As an event coordinator, I always get to see all the moving pieces come together behind the scenes and with a rebrand, there are definitely a few more pieces than usual! This time, the association has a new name and visual identity, while the trade show itself keeps its established name: The Annual Trade Event.

That means one of my biggest jobs is making sure attendees understand the connection while still creating that exciting “big reveal” moment.

This is part of the process we have undertaken to ensure that the new rebranding is a complete revelation for event attendees.

First Rule: Keep It Secret!

One of the hardest parts of planning a rebrand launch is keeping the secret.

There are usually quite a few people who need to see the new logo before the event:designers, printers, AV companies, decorators, photographers, and other suppliers. That’s where Non-Disclosure Agreements (NDAs) can be really helpful.

I also make a point of reminding everyone involved that the new association name and branding are confidential and shouldn’t be shared or posted before the official launch.

If someone involved doesn’t need to know the details of the rebranding to do their job, don’t tell them. The smaller the circle, the easier it is to keep the surprise!

Helping Attendees Connect the Dots

Because the trade show’s name isn’t changing, attendees will still recognize it as The Annual Trade Event, but they may walk into the venue and wonder why they’re suddenly seeing a name and logo they don’t recognize. That’s where signage becomes really important. Having a message  at registration like: WELCOME TO THE ANNUAL TRADE EVENT
Presented by [New Association Name]

It’s a simple but will immediately reassure attendees that they’re in the right place while introducing the new look, name, and logo for the association.

The Execution Takes a Team

The execution is where the event coordinator hat really comes on!

A rebrand launch can involve a surprisingly large number of people. While I’m checking the overall setup, someone else may be preparing registration, another staff member is checking signage, and someone else is coordinating with AV or the speakers.

I find that a simple staff briefing and checklist makes a huge difference. Everyone needs to know what they’re responsible for, where they need to be, and, most importantly, when the secret can finally be revealed.

Having a solid event checklist can also help keep everyone organized. For more ideas, check out The Ultimate Event Planner’s Checklist: Your Key to Association Event Success.

When you’re working with committees and volunteers, clear roles and communication are just as important. Committee Coordination Without the Chaos offers some helpful tips for keeping everyone on the same page.

Move-In: When Things Get Busy

Anyone who has worked at a trade show knows that move-in can be a bit chaotic. There are exhibitors setting up, decorators installing displays, AV crews working on equipment, and suppliers coming and going.

If you’re trying to keep a rebrand secret, timing becomes especially important.

I would plan to install the new branding as close to the reveal as possible and make sure the materials are stored somewhere out of sight.

The last thing you need is an attendee, or an exhibitor with a camera, spotting the new logo before you’re ready!

Don’t Let Social Media Give It Away

Social media is another potential spoiler.

A quick reminder to staff, suppliers, and photographers to hold off on posting photos of the new branding until after the reveal can save the surprise.

Then, once the big moment happens, it’s time to share, post, tag, and celebrate!

Having social media content prepared ahead of time means you can take advantage of the excitement right away.

Make the Reveal Special

The actual reveal doesn’t have to be complicated.

One of my favourite approaches would be a simple countdown on the main screen, followed by the new association name and logo appearing for the first time.

You could also add music, lighting, a short video, or a photo backdrop to make the moment feel even more special.

After weeks or months of planning, there’s something really satisfying about watching that logo appear for the first time and knowing that the secret is finally out!

It’s All in the Details

Once the reveal is over, I like to walk through the event as if I’m an attendee seeing everything for the first time.

Is the new branding consistent? Does the signage make sense? Is the event name still easy to recognize? Are the staff, registration area, stage, screens, and other details all telling the same story?

It’s amazing how easily one small detail can be overlooked.

The Best Part of the Job

A rebrand launch involves a lot of planning, coordination, emails, approvals, NDAs, staff briefings, supplier calls, and last-minute changes.

But that’s also what makes the final moment so rewarding.

As an event coordinator, I may know how much work went into getting everything ready, but the attendees don’t need to see all of that. They just need to walk in, understand what’s happening, and feel excited about their association’s next chapter.

The Annual Trade Event is still the event they know and love. It’s simply introducing them to a new association behind it.

And when you hear someone say, “Wow, I love the new look!”, that’s the moment you know all those behind-the-scenes details were worth it.
